1. Acceptance of Terms

By accessing or using Sentry Sports Ops (“the Service”), you agree to be bound by these Terms of Service. If you do not agree to these terms, do not use the Service.

2. Description of Service

Sentry Sports Ops provides a web-based athletic department operations platform including roster management, eligibility tracking, compliance monitoring, inter-department messaging, and related tools. The Service is provided on a subscription basis to educational institutions and athletic departments.

3. User Accounts

You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You agree to notify us immediately of any unauthorized use of your account.

4. Data Privacy & Compliance

Sentry Sports Ops is designed to support compliance with FERPA, HIPAA, and NCAA regulations. However, the responsibility for compliance ultimately rests with the institution. We implement role-based access controls, audit logging, and data retention policies to support your compliance requirements.

5. Acceptable Use

You agree not to: (a) use the Service for any unlawful purpose; (b) attempt to gain unauthorized access to any part of the Service; (c) share login credentials with unauthorized individuals; (d) transmit any malicious code or interfere with the Service’s operation.

6. Data Retention

Messages and audit logs are retained for a minimum of seven (7) years in accordance with NCAA record-keeping requirements. Compliance case channels maintain immutable records that cannot be edited or deleted. Upon account termination, data may be archived or anonymized per our retention policy.

7. Intellectual Property

The Service, including its design, features, and underlying technology, is the property of Sentry Sports Ops. Your institution retains ownership of all data entered into the platform.

8. Limitation of Liability

Sentry Sports Ops is provided “as is” without warranties of any kind. We shall not be liable for any indirect, incidental, special, or consequential damages arising from your use of the Service.

9. Changes to Terms

We may update these Terms from time to time. We will notify active subscribers of material changes. Continued use of the Service after changes constitutes acceptance of the updated Terms.
